Office Administrator 

Mobile Promotions offer a solution-led approach through a full range of integrated services, specialising in the automotive industry and working with some of the UK's highest profile automotive events. From strategy and planning through to delivery and evaluation, they bring brands to life through memorable experiences. 

The key services they offer vary from production and event management through to staffing and equipment hire. The company is in a significant period of growth and are looking to recruit an ambitious and like-minded individual with a proven track record in sales who wants to work in a dynamic and fast-paced environment to play a big part in the evolution and continued success of the company. 

Position: Office and Events Administrator 
Location: Thrapston, Northamptonshire NN14 3DG 
Job type: Full Time, Permanent 
Hours: Monday to Friday; 9am to 5:30pm however hours are flexible, as every day is different. 
Salary: £18,000 to £20,000 per annum

About the role: 

The Office Administrator will play a very important role in the administration of the event management process and will be trusted to manage their own workload. The role will open opportunity into the events management team for the right person. 

Responsibilities: 

- Booking accommodation, travel and car hire 
- Communicating with suppliers and logistics team 
- Research relating to event concepts, brands and event technology 
- Preparing quotes and raising invoices 
- Ordering event equipment, enhancements, collateral 
- Chasing VAT receipts 
- Preparing working schedules 
- Preparing guest lists, dietary requirements, briefing documents for events managers 
- Producing creative presentations in line with client brief 
- Guest registration support including organising travel itineraries 
- Preparing event debrief documents 
- Preparing meeting agendas and taking minutes 

About you: 

- Highly competent on Microsoft Excel, Word and PowerPoint is essential 
- Past administration or secretarial experience is essential 
- Have good attention to detail 
- Work efficiently in an extremely fast paced environment with the ability to prioritise workload 
- Act calmly and methodically under pressure 
- Ability to problem solve 
- Have passion and commitment and the ability to think quickly 
- Be a strong team player while also having the ability to work independently 
- Full UK driving licence and own vehicle is essential due to office location 

Over the course of the year the successful candidate will be expected to be onsite at circa 8-10 events (typically including weekends) – each for a minimum of 1-3 days (staying overnight in hotel accommodation if required).
