Proposals Co-ordinator

Our clients, a highly regarded employer in Cambridge are recruiting a Proposals Coordinator to join their expanding team.

The purpose of the role is to provide PQQ and Tender Coordination, formatting and presentation using industry standard software. Prepare and monitor deliverable schedules, create and write technical responses and tender questions.

Responsibilities include:

  • Produce winning bid documents
  • Align and develop themes and a coherent winning bid strategy
  • Share ideas to raise the standard of submissions
  • Engage with the wider bid/project team to ensure all ideas are captured and developed
  • Desktop research
  • Liaise with tender and project team and prepare CVs, bespoke for each project
  • Develop case studies using existing project data and interviews with project team members
  • Liaise with team to identify and develop key themes
  • Attend launch meeting and agree deliverables and deadlines
  • Facilitate bid writing workshops, capture outputs and use to prepare draft responses
  • Prepare responses to technical questions using own technical knowledge
  • Attend site visit
  • Design and order folders and tender deliverables
  • Arrange and facilitate progress meetings with bid team
  • Draft executive summary and key win themes and ideas for consideration by the team
  • Review and critique answers from the bid team; check for consistency, technical accuracy etc
  • Keep the team on track with the "end" deadline so the document can be reviewed by a third party
  • Make amendments as necessary and then collate, print, bind or upload the document
  • PQQ's, mid-tender/post-tender, - help the team to prepare for any interviews and prepare presentation documentation
  • Agree and incorporate feedback

Candidates require:

  • Strong educational background
  • Experience within bids and tenders, preferably within the construction industry
  • Relevant industry and technical knowledge
  • Excellent awareness of the Proposals and Intranet Knowledge Banks
  • Advanced IT skills in Microsoft Office Suite particularly Word, and PowerPoint. Intermediate Excel skills. Advanced Indesign software skills.
  • Able to clearly articulate requirements to internal function and subject experts
  • Can create ITT and PQQ responses on standard and technical subject topics
  • Can effectively co-ordinate teams in the production of bid responses
  • Can maintain corporate branding whilst working to the constraints of the ITT requirements
  • Ability to understand procedures and policies of the organisation
  • Ability to deal effectively with colleagues
  • Ability to work well either alone or as part of a team
  • Ability to monitor own and team's progress and meet often demanding deadlines
  • Good writing, technical, analytical and problem solving skills
  • Attention to detail and appreciation of quality
  • Ability to follow oral and written instructions
  • Know when to ask for help and guidance
  • Continuous improvement and development of new skills
