JOB SPECIFICATION

Project Manager

Key Goals:  

  • To provide all In The Bag clients with an outstanding level of service with focus on communication, accuracy, reliability and dependability.  
  • To ensure that all key project documentation is obtained, shared, and communicated seamlessly to the relevant internal and external parties in good order and in a timely manner in order to facilitate the smooth execution of any project.
  • To ensure that all project documentation and correspondence is filed centrally for easy retrieval by all parties.
  • To establish and maintain excellent relationships, based on trust and reliability, with all relevant internal departments, suppliers and with client contacts.
  • To manage multiple ongoing projects, with over-lapping timelines, to a high-quality standard, within budget  

Key responsibility and activities: 

The key activities include but, according to individual client needs, are not limited to all those listed below and these may change at any time dependent on process development or proposition.

 

Project Management Duties:

  • Raise Project Number
  • Create Critical Path
  • Create necessary internal folders
  • Liaise with Client to obtain all relevant and required project information; quantities, packing requirements, delivery addresses etc.
  • Issue requests for quotations and/or purchase order to suppliers
  • Send quotations to clients once approved by line manager
  • Obtain purchase order from client prior to delivery of goods
  • Obtain and download necessary assets and artworks required for project
  • Supply PODs to client as required
  • Supply file copies and samples to client as required

Creative Duties:

  • Creative Pinterest boards and populate with relevant ideas and suggestions
  • Propose creative, relevant and practical ideas based on existing available products
  • Do research on and be aware of new and innovative products that can be suggested to customers
  • Create presentations in Powerpoint to pitch ideas to clients
  • Communication:
  • Manage any change requests effectively ensuring minimum impact on cost and lead time. Communicate any changes to both client and line manager, including any cost or time impact the change may have
  • Throughout all stages of the project communicate with all internal departments by telephone, in person and on email to ensure schedule is adhered to
  • Throughout all stages of the project communicate with the client by telephone and on email to ensure the client is appraised of progress

Administrative:

  • Ensure that all documents are filed centrally and retrievable with ease for reference and referral

Measurement of performance: 

Performance will be measured as part of the Performance Management System, with regular desk reviews and bi-annual appraisals, and benchmarked against the performance targets set below from within the In The Bag Competency Framework. 

Level of authority: 

  • Approval required from Line Manager on critical paths, quotations, initial stage visuals and prototypes
  • Escalate issues with project schedule to Line Manager if unable to resolve
  • Check all file copies to ensure they are correct and to In The Bag standards

Team and company relationships: 

Refer to current company organisational chart to view individual and companywide relationships and reporting lines.

 

  • Reports to Director.
  • Communicates directly with clients

Workbase: 

Home office based but maybe required to travel to manufacturing, client or 3rd party sites when necessary

Company and legal requirements: 

  • No specific qualifications are necessary
  • Excellent understanding of Microsoft Office – particularly Excel and Power Point
  • Project management experience is desirable
  • Good communication skills and the ability to work in a team is essential
  • Excellent attention to detail and ability to work to deadlines is essential
  • Knowledge of printing processes and methods is desirable
  • Knowledge of artwork creation (specifically via Adobe CC) and file types is desirable

Promotion guidelines:

Promotion can be gained to Senior Project Manager:

  • Regular performance established
  • Typically at least 3 years + in project management role
  • Good commercial client account understanding demonstrated
  • Commitment to company demonstrated

Promotion can be gained to Account Manager with:

  • Regular performance established
  • Typically at least 3 years + in project management, sales or commercial role
  • Aptitude for relationship building, gregarious personality 
  • Good commercial client account understanding demonstrated
  • Potential man-management aptitude demonstrated
  • Commitment to company demonstrated
  • Company advocate in behaviour
