JOB DESCRIPTION

POST: E-LEARNING RESOURCES CO-ORDINATOR

FIXED-TERM MATERNITY COVER

Academic Department

RESPONSIBLE TO: PA to Dean and Director of Education Department/Office Manager

HOURS OF WORK: 21 hours per week (hours can be worked across ½ days or full days but must include Mondays and Thursdays)

BACKGROUND INFORMATION

OVERALL PURPOSE OF THE ROLE

This is an evolving post and the post holder will be expected to demonstrate flexibility in taking on new and changing aspects of the role as well as being pro-active in developing aspects of the role. The company are currently developing e-learning resources across a range of areas, from web lectures and podcasts to working with other organisations on immersive reality training.

The post holder will provide administrative support to the e-learning programme. They will be a linchpin and pull things together by working closely with various stakeholders including the Doctor responsible for selecting videos, Events Co-ordinators, Meeting Organisers, Speakers, Dean, Marketing department, Inclusive Digital (edits and host videos on the website) and the Education Director.

KEY DUTIES AND RESPONSIBILITIES

1. E-learning resources

The post holder will have the opportunity to and be expected to contribute and provide support to the development of e-learning resources. This may include working with the Education Director and with the Marketing department on the development of marketing and e-learning resources and support to the development of specialty based resources for e-diplomas.

The post holder may be asked to be the department point of contact with AV for the production of webinars.

2. Web lectures and Podcasts

a. Web lectures (Videos)
• Responsible for administering, ensuring regular reviewing and updating of the agreed process in place for identifying lectures suitable for recording to share with a web based audience.
• Monitoring the videos mailbox and ensuring emails are actioned the same day.
• To co-ordinate and oversee the web lecture process and take responsibility for ensuring that the process for identifying web lectures and for recording and uploading them to the website is followed. This will involve:
- Liaison with the Doctor responsible for selecting lectures to be recorded, Dean and Education Director to ensure appropriate lectures are selected in time to be recorded.
- Advising the Event Co-ordinator that the meeting has been selected and ensuring that via the Event Co-ordinators and meeting organisers, necessary Speaker consent, and related materials (such as abstracts, bibliographies and key references, slides etc) are available in the defined timescale.
- Chasing speakers/Event Co-ordinators for consents and edited slides before and after the meeting as per procedure
- Liaising with our in house Audio Visual team to ensure that they are aware of the list of lectures to be filmed and that they are aware of updates to the list/speakers.
- Reviewing the list weekly to take in to account permissions/high profile lectures so as to ensure that there is sufficient material being recorded and consented to provide the required number of weekly web lectures.
- Monitoring and undertaking copyright checks on images/slides as per policy.
- Ensuring videos ready to ‘go-live’ are set up on internal systems accurately and made live.
- Ensuring that queries raised by the editing company (Inclusive Digital) or by others are responded to by the most appropriate person in a timely manner.
- Ensuring that evaluation scores of meetings are checked prior to the meeting going live on the website as a web lecture
- Dealing with enquiries from members about viewing videos/CPD, liaising with IT, marketing, Inclusive Digital as necessary to achieve speedy resolution to the query.
• Ensuring that departmental processes for identifying and gaining consent from speakers and/or patients for web lectures are regularly reviewed and co-ordinators are trained as necessary
• Working with Marketing on regular analysis of statistics on take-up and future predictions on likely take-up.
• Scheduling regular update/progress and review meetings with the External Production Company, Marketing Department, Director of Education and Associate Dean and taking action notes.
• Liaising with the Director of Education and Associate Dean on the development of the e-learning programme, ensuring that the necessary administrative support is provided
b. Podcasts
RSM are currently developing their Podcast programme to extend the reach and raise the profile by promoting meetings, and highlighting that are relevant and engaged in important healthcare issues.
• The post holder will be involved in providing operational administrative support to the Podcast pilot and programme as it develops.

3. Other duties

• To attend the monthly department meeting
• To attend ad hoc meetings as requested
• The post holder will be required to undertake any other duties according to the needs of the service.
