We are currently working with an incredible investment company currently working on a long term international project. The corporate office in London comprises a small 6-person team, that serve as support to the Group’s operations/mining projects in Romania and advisers to its Board, through the provision of commercial, investor relations, M&A, financing, tax, and financial accounting and reporting activities. The finance team in London currently consists of a group financial controller and group accountant.

Due to recent restructuring of the office, there is now a new opening for an administrator across the office operation. The role is split between the finance team and additional wide-ranging responsibilities of an office manager. The office administration will include day-to-day functions of the office, ensuring that the required infrastructure and resources are always available and operational and that business processes are working efficiently. The candidate should be a self-starter who has both experience of working within a small team but who is also prepared to be flexible in taking on wide ranging responsibilities as may be expected in a small head office team. There are development opportunities, in areas including accounting and reporting, investor relations analysis, and ad hoc reports / analysis for the management team.

Job Summary | PART TIME Office Manager

Key Responsibilities

* providing ad hoc support to the directors including occasional travel (flights / hotels)
* managing inbound phone calls to the general office number (limited)
* arranging shipping of documents and parcels in UK and abroad (limited)
* updating HR calendar, keeping track of holidays, sick leave, etc.
* managing reception including meeting and greeting external clients (limited)
* arranging team and board meetings, restaurant bookings (limited)
* coordinating input from IT consultant/engineers as necessary for basic PC/laptop/printer/ troubleshooting
* assistance with maintaining office systems, including data management, archiving, filing, etc
* sourcing / organising office stationery, office refreshments, toiletries and other consumables
* liaise with office landlord on tenancy issues, including organising office maintenance as necessary
* management of offsite archiving spreadsheet (keeping track of retrievals, returns and new items)
* other ad hoc duties as required in the running of a busy office including proof reading, formatting and collating Word, Excel and Power Point files and presentations, printing and binding documents.
* collection, distribution and opening of mail (limited)
* setting up / maintaining accounts with office suppliers, with occasional re-negotiation of supplier T&Cs
* capturing, validation and processing of invoices from the corporate office suppliers, service providers and employee / director expenses into Oracle
* obtaining approval for payment of invoices from the relevant office management
* preparation of payment listings and accompanying supporting evidence and subsequent capture of payments made onto Oracle
* management of the filing of all accounts payable related documentation
* other ad hoc duties as required at month and quarter end to assist in the preparation of the accounts

Investor relations

* Assist with preparation of investor relations slides that form part of monthly Board packs (from data provided by the company’s relationship investment banks)
* Liaising with website host to resolve issues and make changes to the corporate website
* Keeping track of press releases issued, and updates to agreement with service provider
* Manage upload of documents to the website, including press release, quarterly earnings reports
* Ad-hoc research for IR related topics
