Position: Permanent

Hours of work: 20 hours per week.

Salary: £18,720 pa pro rata, with contributory pension after probationary period.

Location: Chichester City Centre

This fabulous client is now seeking an exceptional candidate with wide-ranging administrative, marketing or event experience to support the new team. Central to their work programmer will be resources support for the work of the Member Services Manager as well as responding to enquiries from member businesses.

Job Purpose

To ensure the smooth running of the office and to provide administrative support for Chichester delivery of services, events and projects.

Principal Accountabilities

* Use of CRM database to send out mailings
* Familiar with MS Office 365
* Maintain stock levels of office consumables and services and restock on monthly basis
* Ensure office equipment is maintained and faults resolved
* Book venues and catering for meetings, circulate papers and take minutes of board, sub-committees, member open meetings and team operations meetings
* Mail out meeting papers and invitations to events
* Ensure audio-visual equipment and any other requested equipment and attendance lists are prepared for meetings and events
* Keep meeting schedule up to date
* Keep annual leave records of staff
* Receive visitors and callers to the office, providing refreshments and redirecting as necessary
* Collect and distribute post and receive deliveries
* Answer the office phone main number, check incoming messages and update outgoing message
* Assist in facilities management issues and office moves
* Keep register and location of assets up to date
* Manage petty cash
* Record and pay invoices received
* Liaise with book-keeper
* Prepare Invoices and issue Purchase Orders on request
* Set up accounts with approved suppliers and manage service contracts

* 20 hours per week. Request for flexible working times may be considered.
* Occasional attendance at early evening and early morning events may be required.
* 5 days holiday per annum, in addition to public holidays
