JOB PURPOSE:

• To provide a full secretarial service within a busy Commercial department, assisting Solicitors to complete work, and thereby meet client needs / objectives.

PRINCIPAL ACCOUNTABILITIES:

• Typing and preparation of documentation as required by fee earners, document amendment utilizing track changes/work share software and converting documents into ‘house style’ or other required formats
• Copy typing draft to finished items.
• Audio typing via digital dictation system of documents such as; letters, correspondence, contracts and attendance notes
• Processing: contracts, agreements, bills and disbursements, procurement documentation, applications (eg. for trade mark), pleadings, statements, instructions
• Client and matter file opening
• Answering external calls for fee earners and assisting with client enquiries if possible.
• Processing incoming cheques and acknowledgments.
• Maintaining diary and brought forward system to ensure clients / matters are reviewed and to act as a reminder to the Solicitors.
• Maintaining diary and arranging appointments, meetings and lunches as required.
• Maintaining monthly team report
• Photocopying, faxing and scanning documents as and when required.
• Deal proactively with incoming correspondence/enquires - eg. mail, fax, email, responding as appropriate.
• Preparing draft bills, including disbursements from billing guides.
• Preparing relevant forms for accounts including payment requests, etc .
• File closures and archiving of historic files.
• Proactive itinerary planning when arranging travel/ accommodation
• Exercise confidentiality, discretion and personal sensitivity in all aspects of the role.
• Working with support from another team’s secretarial support, not on a full time basis, and therefore being responsible for liaising with that support member to agree sharing of tasks and in some cases delegating some tasks.

SKILLS, EXPERIENCE AND QUALIFICATIONS REQUIRED:

• Always work in a cross functional manner as is necessary to meet the Company goals.
• Excellent verbal and written skills
• Excellent organisational skills
• Ability to work under pressure
• Ability to work proactively and use own initiative
• High attention to detail and accuracy
• Experience supporting at Partner level within a professional services firm.
• Experience of managing a high volume of work, providing full secretarial support to more than one person.
• Proven time management experience
