Salary: Dependent on experience

Hours - Shift work - Week 1 8am-4pm

Week 2 - 8.45am-5pm Mon-Thursday 8.45am-4pm Fri


· Proven practical experience on a busy Reception utilising a busy multi-line switchboard (current system Avaya – IP Office)

· Experience of electronic franking machines (Pitney Bowes Connect+ 500W) and good working knowledge of UK postal and delivery systems

· IT literate including experience of using Microsoft Office Suite, in particular Outlook, Word and preferably Excel.

· Excellent communication, interpersonal skills and telephone manner

· Smart, articulate and presentable

· Flexibility and the ability to maintain calm and level headed under pressure

· Full driving licence - Must be prepared to drive a variety of company cars on a regular basis for varying errands

· Typing skills essential

· First aid and/or Fire Warden trained/qualified or willing to be trained

· Must be able to provide cover for holidays and sickness, covering hours between 8.00am and 5.00pm sometimes at short notice

The role is a front line, customer facing position which requires a high level of professionalism and diplomacy. Deals with all calls and visitors appropriately and efficiently and always in a courteous manner ensuring that they receive the best possible first impression of the Company. Responsible for carrying out a range of administrative and general assistance duties, so a flexible and helpful approach and the ability to prioritise is required. Duties include:

· Answer and transfer all incoming calls, taking messages and passing them on

· Welcome all visitors and ensure health and safety procedures are followed for all visitors

· Open, sort and distribute all post

· Frank all post and organise special deliveries to meet daily collection deadlines

· Organise and prepare refreshments for visitors/meetings, including clearing up

· Replenish company catering provisions with weekly shopping trips

· Assist with Factory Visits administration

· Provide support to the Marketing Department with distributing mail shots, bulletins etc to retailers

· Assist the Finance department with collation and posting of monthly statements

· Provide general administrative assistance as required, eg photocopying, assisting the Sales Secretaries, inputting data in spreadsheets etc

· Organise showroom tours for end users via Retailers by arranging tour guides and scheduling appointments in showroom tour calendar

· Liaise with the franking machine supplier and Royal Mail for all aspects of franking supplies, deliveries etc

· Assist with Product Launch and other customer events as required

· Undertake Fire Warden and First Aid duties (as and when required)

· Manage a small amount of petty cash
