We are looking to recruit an Office Manager / PA on a part-time basis to join our small but expanding team of air charter brokers. The role is supporting the Managing Director and two brokers. The ideal candidate will have office management / bookkeeping experience and be proficient with Microsoft Excell.

This is an excellent opportunity to work in a varied and interesting position where the right personality and flexibility is important.

Main Duties

" Basic bookkeeping - liaising with outsourced accountancy firm, keeping a record of all invoices / payment receipts etc. and ensuring these are passed on to the accountants. Raising invoices and keeping records of these using Excel
" Petty cash management and processing team expenses
" Office management - organising and managing telecoms, tradesmen, office supplies, cleaners, fire & security alarm company, waste company, insurance, utilities, general building maintenance
" Ensuring compliance with health & safety regulations including emergency procedures
" HR duties - recruitment, holiday/sickness rotas, liaising with accountants re. payroll and pension scheme
" Producing end of month Flight Reports and Commission Statements
" Producing monthly broker call reports
" Tenant Management - producing quarterly service charge invoices for company in tenancy, dealing with any queries they may have
" Supporting the MD and brokers with travel arrangements, expenses, filing
" Providing some PA support to the MD
" Answering phones as required
" General administration duties
" Developing new systems for a growing office where necessary

The role would not be limited to these duties and may change and expand with the needs of the company.

Required skills, experience and personal attributes

" Proficient in use of MS Office including, Excel, Word, Outlook, PowerPoint
" Office management / office administration experience
" Confident self-starter with ability to work independently and on own initiative
" Excellent communication skills
" Other IT skills an advantage
" Sense of humour and willingness to help out
" Numerate
