An opportunity has arisen for an experienced receptionist to join one of the UK’s leading Facilities Management service providers, working on a prestigious contract in Basingstoke.

Although the role is part time 5hrs a day, there is a need to self-cover with the other receptionist, so the shift is a mixture of mornings and afternoons.

The Receptionist is to provide an effective professional reception service, and general office support function to the Client’s business. Being a key, responsible, member of a multi-tasking, multi-skilled team undertaking all work requests and responsibilities of the Facilities team

 Meet and greet visitors in a professional manner, ensure they sign in the visitor book.
 Provision of services as requested or directed by your Line Manager:
 Ensure that any in-bound post coming through the reception function is in the correct ‘pigeon hole’ collection points for the tenants to collect and that any out-bound mail delivered into the pigeon holes by tenants is handed over to the Royal Mail or other agreed collection agent.
 Notify tenants of visitor arrivals, deliveries, couriers etc either via direct telephone call or via computer messaging.
 Effectively support dealing with any emergencies including contacting emergency services if required.
 Ensuring that the reception area remains in an acceptable condition throughout the day.
 Effective control of all Facilities consumables including cleaning, to ensure availability at all times.
 Provision of management information for the Facilities Manager including reporting on: postal volumes, response times, customer feedback, usage etc.
 Ensure all activities are carried out in accordance with Systems and procedures.
 To manage, maintain and update the document storage system.
 Issue and manage the access control passes in accordance with the Client’s Access Control Policy and Procedures
 Update the building noticeboards and provide signage as required.
 Monitor car park entry for visitors (and those who have forgotten their access cards), report any issues direct to tenant reps or via line management.
 Complete a weekly chaser to tenants to update their car parking list.
 Monitor and facilitate the car parking policy of the site.
 Porter and room set up service (support as required).
 Ensure building users are aware of and abide by the tenant agreements.
 Co-ordination of building first aid requirements and take a participating role in fire evacuations
 Fulfil key emergency evacuation role if required (such as fire marshals / senior fire marshal if Management Team are not on site)
