Job overview/description

We are now looking for an Office Administration Assistant Apprentice to provide a professional administrative service on all levels. The main focus of this role is to ensure that all services are delivered in a timely, efficient and consistent manner, as and when required.

Job summary

As an Office Administrator, you will provide support with a range of administration activities, being primarily based at the front of house area in the Sandvik Halesowen Reception.

Responsibilities and Duties

Provide comprehensive travel support to internal & external customers in the areas such as travel insurance, visa applications, hotel accommodation, flight bookings, logistics, running reports and processing invoices (this list in not exhaustive) Predominately managing and maintaining the departments shared mailbox and booking internal conferencing facilities Co-ordinating hospitality arrangements for on site visitors and work in conjunction with the Accounts Payable team by processing journals, approving invoices and resolving queries within the business financial systems, currently operating Basware Collect and distribute the internal and external post on a day to day basis for the Halesowen office; and updating and maintaining key company information relevant to postal activities Undertake reception duties as part of a rota and as part of the administrative team cover holiday and absences when required to do so Collate the relevant data, which records visits to Sandvik UK Sites by Sandvik staff from overseas Sandvik companies Providing indirect purchasing support by taking lead responsibility for ordering any non stock items for the Administration Team and items and services required onsite On a day to day basis you will be responsible for managing and maintaining the departments shared mailbox and booking internal conferencing facilities There will be day to day administration tasks, including collecting and distributing the internal and external post and coordinating all site visitors. You will also be responsible for the coordination of on-site hospitality arrangements for visitors and to collate relevant data which records visits to the Sandvik UK sites You will need to possess excellent communication and customer service skills and be clear and concise as this front-line role will also mean you need to be health and safety conscious in emergency situations if they arise. Your role will also include additional support in others areas as needed.

Desired skills/experience

We are looking for an individual with previous administration knowledge and office experience within a customer-facing role to provide support at all levels in a corporate office environment You will need to be proficient in Microsoft Office packages such as Word, Excel, PowerPoint and Outlook, experience in using post room machines as well as having the ability to learn new relevant systems quickly As an individual you will need be approachable, confident, pro-active, organised and be able to prioritise your own work load You will need to provide outstanding customer service, have excellent communication skills and be professional at all times You are a strong team player who enjoys solving problems constructively

Required qualifications

You will need to be educated to GCSE grades, or equivalent, in English language and mathematics A secretarial and/or business administration qualification would be preferred but not essential to the role

Working week

8:45am - 4:00pm,

32.5 hours per week


£12,000 per annum
