I am recruiting for an experienced Part Time Administration Assistant for a well established client based in Birmingham Tyelsey; this is a fantastic opportunity for somebody wanting a 4 day (Monday-Thursday) part time job with a salary of up to £18000 (pro rata) on offer.

THE ROLE

Working as the Administration Assistant you will be responsible for a number of tasks and duties, excellent communication, being able to prioritise and multitask is essential. You will be working very closely with the Office Manager and helping with the smooth running of the office, coordinating and prioritising incoming emergency repair works with the workforce and customers, producing PO numbers and invoices, booking appointments for Surveyors, managing a fleet of commercial vans, acting as a first point of call for customers and liaising with internal departments and producing professional quotations to name just a few key duties.

THE COMPANY

You will be working for a very well established family owned and run professional construction company who have been in business for over 40 years. The client offer a number of services including extensions, new builds, refurbishments, roofing and renewable energy instillations to name just a few. My client work with both commercial and domestic customers and have a number of key contracts so work is never quiet.

TYPICAL DAILY JOB DUTIES – WHAT WILL YOU BE RESPONSIBLE FOR?

- Act as first point of contact for many customers via telephone and email

- Deal with general queries, take messages and escalate any issues/complex queries to the relevant person/department

- Produce PO numbers

- Raise invoices

- Book appointments for Surveyors to go to site to meet with customers

- Coordinate emergency customer requirements; liaise with the workforce team and the customer to get construction workers on site to complete repairs

- Manage a company mobile, ensuring the workforce team know what work they are required to do

- Produce professional quotation letters/emails to be sent to customers

- Keep track of any pending tenders for work and upload new tenders onto the system

- Help with the purchasing of materials, liaising with merchants

- Manage the health and safety policy and procedures, ensuring everything is up to date

- Mange a fleet of 9 commercial vans and a FLT, ensuring tax/MOT/servicing is all up to date

- Manage the workforces training and qualifications, ensuring they are all up to date and qualified to work

- Manage the company’s mobile phones contracts for the office and workforce team

- Manage the office’s stationary, order when required

- General administration duties such as outgoing post, mailbox management, filing etc

PERSON SPECIFICATION

- Committed and wanting to work a 4 day part time JOB and ideally fairly local to the Tyesely area (accessible via public transport)

- Strong administration skills

- Excellent customer services skills with fantastic communication skills, both phone and email based

- Professional telephone manner

- Experience of raising PO numbers and invoices

- Sage Line 200 would be desirable but not essential

- Experience of customer/employee work coordination would be ideal

- Ability to prioritise and multitask

- IT literate (MS word, excel, outlook, internet)

- Stable work history, be able to explain reasons for leaving previous positions

- Punctual and reliable

HOURS

4 days

30 hours, Monday – Thursday

8-4.30 (60 minute lunch)

PACKAGE AND BENEFITS

- £12800 – £14400 basic salary dependant on experience based on 30 hours (Equivalent of £16000 – £18000 full time salary)
