The School of Slavonic & East European Studies (SSEES) is seeking to recruit a dedicate business administration apprentice to support and contribute to the operation and activities of the School’s Director’s Office.

Job overview

This position is a unique opportunity for an enthusiastic and ambitious business administration apprentice to gain a wide range of skills and experiences in Higher Education administration, which will equip them to further develop a successful future career in Higher Education sector.

The purpose of the role is to provide high-quality administrative support to Director’s Office and contribute to the effective and professional operation of the Office.

Main responsibilities

Duties & Responsibilities

Support the production and dissemination of the SSEES Fortnightly Newsletter and other similar internal and external communications and publications Maintain contacts lists and other databases held by the Director’s Office Support the maintenance of the School’s intranet, including logging and uploading documents Liaising with the UCL SSEES Careers Advisor and UCL SSEES Careers Tutor, organise and support careers events and activities Administer bookings of the SSEES Masaryk Senior Common Room for dedicated events. Book rooms across the UCL campus for non-teaching School events Arrange hospitality for meetings, events and interviews Handle the mail for the Director’s Office and Operations & Research Support Office Handle telephone, email and in-person enquiries received by the Director’s Office Organise and archive School files and information, and contribute to the wider operation of the School’s records management policy and procedures Administer the sale and stock keeping of the School’s publications Support the purchasing of equipment, travel and other relevant goods and services Provide general administrative support to aid the effective operation of the Director’s Office, including copying and collating documents Actively follow UCL policies including Equal Opportunities policies Maintain an awareness and observation of Fire and Health & Safety Regulations. Willingness to train and develop skills as required by this role and further Professional Development more generally Any other relevant duties as required by the Director and/or Assistant Director and/or Personal Assistant to the Director

Required qualities

Excellent interpersonal skills and awareness of tact and discretion. Effective oral and written communication skills, including spelling and grammar. The ability to securely handle and maintain information and documents of confidential nature. The ability to liaise appropriately and effectively with colleagues. Excellent computing skills, with prior knowledge of the -Microsoft Office suite of applications. Good time-management and organisational skills. A high-level of accuracy and attention to detail. The ability to work both independently and as part of teams. A desire to learn new skills and undertake personal development. Knowledge and/or interest in Higher Education administration. Knowledge and/or interest in the School’s area of research.

Desired qualification

Minimum of 5 GCSEs at Grade C or above (or equivalent qualifications), including English and Maths.

Working week

Monday to Friday 9am to 5pm

Salary

£18,650

QA’s apprenticeships are funded by the Education & Skills Funding Agency (ESFA), an executive agency of the Department for Education.

To be eligible for a Government funded apprenticeship you must have lived in the UK or European Economic Area (EEA) for the last 3 consecutive years.
