A brand new opportunity for a Part time Executive Assistant/ PA now exists with our client in Maidstone.
Our client is a Pensions & Investments specialist established in 2004 and is now proud to be one of the leading providers of Independent Financial Advice in the country. They deal with all aspects of financial advice covering life assurance, pension and investment markets, mortgages, Corporate Pensions, Long Term Care and Employee Benefits.
They now require an experienced Executive Assistant to work on a part time basis in their Maidstone office to work predominately with an IFA that covers Hampshire and Surrey. The hours of work are 1pm to 5pm Monday to Friday but there may be some flexibility on this.
The job holder will provide first class administration support and assist in all aspects of running his existing client bank and developing new business. In providing complete support to the IFA, his clients and business connections, we expect top performance and a can-do, committed attitude.
Key aspects of the role will include:
•Take responsibility for client enquiries/queries or administrative questions, answering or fielding queries where relevant
•Build and maintain good client relationships, delivering excellent and efficient service
•Diary Management - book all appointments – includes existing clients, new clients, introducers and B2B events
•Prepare appropriate client packs for meetings
•Audio typing of file notes ensuring they are bullet pointed and cover all relevant areas
•Process completed attitude to risk questionnaires and update fact finds on the Intelligent Office database and store to the client file
•Issue weekly client progress updates
•Schedule and make service calls to existing clients
•Manage and action referral scheme and other marketing campaigns
•Work with IFA on marketing/lead generation campaigns putting forward ideas and solutions
•Action, manage and report on output of any marketing/lead generation initiatives implemented
•Ensure existing processes are adhered to and develop new processes where necessary
•Prioritise and take proactive responsibility for own workload in accordance with the published procedures
•Ensure all databases are kept up-to-date
•Ensure any work coming into Head Office is compliant, complete, scanned and presented in the required format
•Act as liaison between IFA, client and Head Office ensuring a smooth and efficient workflow
•Dealing with team post
•Working closely with the IFA to deliver teams goals, targets and agreed business plan
•Routinely and consistently follow company procedures and compliance requirements
We are looking for a candidate with a minimum of 3 years of experience in the Financial Services Sector for this role. Additionally, you must be able to work with minimal supervision, have good numeracy and problem solving skills, have a professional demeanour with great communication skills and be able to deliver high quality presentations and reports. IT skills including Microsoft Outlook, Excel and Word will be required. Previous knowledge of Auto Enrolement pension scheme members would be an advantage.
