Team Assistant / Project Coordinator
£22-25k Salary
Based - Acton, West London W3
Mon - Fri 8.30am - 5pm
Immediate start

To provide Team / Admin support and to coordinate various company projects and installations


. General administration support to the Deputy MD

· Answering the phone including dealing with and queries for the MD, dealing with customers when relevant staff are unavailable.

· Welcoming visitors when necessary providing them with refreshments if required.

· Ordering couriers and taxis when required

· Dealing with managerial queries with regard to supplier deliveries, pricing etc.

· Maintenance of Supplier Price Lists & catalogues for Managers.

· Arranging appointments for visiting Sales reps and Deputy MD.

· Log sales leads and tenders and distribute as directed, and progress with relevant sales person/project manager

  • Preparation of Contract quotations

· Approve TNT, Parcel Force, Courier Systems and all stationery invoices

· Placing adverts when required for positions vacant on various job boards. Taking initial call from candidates, vetting as required and arranging interviews.

· Booking travel and accommodation as and when required

· Responsible for Photocopiers, Fax machine, Franking machine, telephone system within the office

· Reporting and calling our engineers for any faults for office equipment

· Taking minutes in meetings ( Action points)

· Sending out quote requests to manufacturers

· Liaising with Clients, Project Managers regarding ongoing and new projects on behalf of the MD

· Collate Sales Reports on each project

· Monitor Sales Team diaries and performance.


· IT literate - Microsoft Word, Excel and Outlook.. .

· Proactive approach ability to use own initiative

· Ability to work in a fast paced environment

· Experience of collating information and producing reports

· Excellent communication skills both verbal and written

· Strong administration experience.

· Excellent organisational skills
