Accurate, comprehensive accounts and financial planning is essential to the growth of their business so they are looking for a really efficient Bookkeeper / Financial Accounts Assistant for their logistics and finance team who has a passion for providing excellent administration support, is forward thinking, has great communication and organisational skills, with great attention to detail, and has integrity and professionalism when dealing with sensitive financial information.

The role will involve working alongside the Operations Director, overseeing our UK finances, liaising closely with their main head office accountant, plus correspondence both with our suppliers in the Far East and UK and with their customers in the UK.

The job initially encompasses running all aspect of our UK accounts, but will extend as soon as practical to involvement in modernising and integrating our HK accounts, banking and financing facilities.

Hours of work are 09.00 to 17.30. Flexible working hours currently in place whereby employees can start between 08.00 and 09.00, and leave between 16.30 and 17.30.

This role will include

UK Accounts:

Maintenance, posting and reconciliation of our UK sales and overheads on Quickbooks Online
Updating overhead info for management reports and company budgeting
Weekly & Monthly payroll duties including salary payments
Processing of payments to HMRC for PAYE & NIC
Preparation of quarterly VAT returns
Processing of payments to suppliers and other services, including checking/paying employee cash expenses
Processing payments for imports and export activities
Day to day responsibility of financial queries
Assistance with invoicing for certain appropriate customers
Liaison with HK Accountant:
Provision of UK overhead breakdown to our HK Accountant
Collation of monthly sales invoices
Calculation and submission of monthly UK office expense claim to parent company
Assistance with supplier payments
Follow up debtors / overdue payments

HK Accounts:
Play an integral part in the planning and implementation of the following intended changes:
Running HK accounts On Quickbooks, temporarily mirroring current process
Gradual changeover of parent company bank account from HK to UK
Transfer of factoring / internet based lending / bank overdraft / alternative lending facilities for peak cashflow

Other:
Daily communication with customers, factories, sales and logistics teams.
Ad-hoc finance tasks

Skills required for this role

• Exceptional administration and organisational skills, ability to multi-task, prioritise and think ahead
• Meticulous with a keen eye for detail
• Advanced computer skills including Microsoft Word, Excel, Outlook etc
• Experience with accounting packages, ideally including Quickbooks
• Team player, enthusiastic and someone that will be happy mucking in
• Great interpersonal and communications skills
• Ability to effectively self-manage
• Positive and proactive
• Bright, keen to learn with a sense of humour
• Passionate about delivering superb customer service and to enjoy doing so
• Ability to work under pressure caused by seasonal concentration of activity
