New exciting full time Office Manager and Conference Organiser role with IFFO, an International Trade Organisation that represents and promotes member companies in the fishmeal and fish oil industry worldwide. IFFO are a highly successful and respected organisation seeking a hardworking individual with a strong background in Events and/or Conference Management.

The role will be paying around £30,000 - £35,000 depending on experience.

Based at IFFO’s Head Office in Elephant and Castle, SE London, this job entails responsibility for the management of the office facilities, the first point of contact for IFFO and the organisation for all the logistics for IFFO’s Annual Conference and other events. As the annual conference is overseas there will be two overseas trips required a year. Previous locations include South America, Asia and Europe.

Main Tasks;

- Maintenance of office facilities and equipment e.g. IT, air conditioning, lighting and cleaning, insurances, subscriptions, stationery, groceries, including the handling of contracts and procurement of local services. Authorize and code related invoices.

- Oversee the compliance with UK Employment and Health and Safety Regulations (training provided)

- Evaluate, select and manage all suppliers for the Annual Conference, mainly audio-visual, interpreters, entertainment, hostesses, security guards, photographer, tour, decoration, freight forwarder, transportation, branded sponsored items, etc.

- Inspect, evaluate and select venue for the conference’s Welcome Reception.

- Maintain annual leave and absence records.

- Control of petty cash, including foreign currencies

- Answer incoming phone calls and filter the general email inbox. Replying/distributing all queries from non-members.

- Handle all incoming post and courier requests

- The candidate will be expected to perform different tasks as required and demonstrate a flexible approach to working within a small team.

- The position requires 2 overseas trips per year.

Skills required.

- Highly organised and outstanding attention to detail
- Good numeracy skills and experienced with Excel spreadsheets
- Hands on attitude, willing to help
- Able to negotiate value for money purchases of products or services
- IT literate - Microsoft Office suite and electronic diary planning
- Basic Spanish an advantage but not a requirement

Experience required;

- Working in a small office (approximately 10 people)
- Events or Conference Management Essential minimum of 3 years
- Resolving IT, telecoms or other office equipment issues

An interest in sustainability and Marine Biology would be advantageous but not essential
