We are currently working with an independent £42 million early stage venture capital fund that is looking for a PA / Team Assistant. As Team Assistant, you will become an integral part of the team, helping to run the day to day operations of the fund, assisting in any way necessary. You will have the opportunity to fully participate in supportive activities spanning across the entire investment process and smooth functioning of the fund. There is a diverse range of responsibilities available, as the role involves liaising with many start-ups and investors all in a unique and stimulating environment, sitting in a large, dynamic office in Kings Cross.

Key Responsibilities:

PA / Team Assistant Role

Administration

  • Calendar management for the team, including arrange meetings, booking rooms, responding to e-mails and initiating meetings
  • Preparing rooms ahead of internal or external meetings
  • Preparing and circulating materials ahead of meetings
  • Assisting the team with recording and monitoring the investment deal flow, for example by monitoring interesting investment opportunities
  • Helping to ensure the team meets important deadlines, managing schedules and process
  • Managing subscriptions, from online tools to insurance policies and other such services
  • Managing online orders, for example of stationary or electronic equipment
  • Taking responsibility for the filing and storage (electronically and physically) of files and data on our portfolio companies

Finances

  • Reporting and submitting expenses for the team
  • Assisting the team with the fund's budget and expenses, by monitoring spend and ensuring
  • appropriate documentation is kept for end of year reporting
  • Coordinating with our fund administrator on invoices and payments Events & Travel
  • Assisting with the planning and booking of travel for the team
  • Planning events, like networking events, offsite meetings and helping the team to build and foster relationships with the venture capital and start-up community

Communication

  • Facilitating communication for the team, often acting as the first point of contact for start-ups and investors. This will involve responding to inbound enquiries, scheduling calls and meetings and managing calendars and schedules
  • Organising and attending meetings at the Guardian and other locations, with start-ups, Guardian stakeholders, our platform partners and other investors
  • Recording information from important meetings, for example keeping minutes from meetings with our investment committee, and action items from meetings with our advisory committee

Skills and Experience

The role would require the following levels of skills and experience:

  • 2 - 5 years of relevant work experience, for example as Personal Assistant
  • An undergraduate degree or similar qualification
  • High level of personal integrity and resonance with the values of the Scott Trust and the Guardian
  • Knowledgeable of Microsoft Word, Microsoft Excel and Microsoft PowerPoint
  • Strong written and communication skills
  • Organisational skills and the ability to multitask under time pressure, while paying attention to detail
  • The ability to be proactive and take initiative, and be flexible and adaptable
  • Ability to develop strong relationships and work with a number of different stakeholders (internal and external) across functional areas especially in collaboration with Digital, Editorial and Commercial teams and entrepreneurs
  • Language skills are preferred, as well as enthusiasm for working in a diverse environment
