  • Ensuring all operational risk and audit issues are closely monitored and reported in real time.
  • Assist in the departments Business Continuity strategy and planning.
  • Adhere to full processes for the onboarding and offboarding of new / existing employees.
  • Responsibility for all onboarding including agreements, NEMT ID requests, Legal Matter Numbers, DPN and Confi Agreements.
  • Accurately record the department's headcount reporting records ensuring deadlines are met.
  • Close partnership with Legal's internal training partners to deliver weekly reporting, reviewing and completion of training(s).
  • Ensuring lawyers hold the relevant practising certificates and bar licenses.
  • Maintain and coordinate the department's LEGALconnect SharePoint platform.
  • Maintain subscriptions, reviewing at renewal and liaising with Market Data team.
  • Working closely with our lawyers to organise competency based training and seminars with a focus on meeting our SRA obligations.
  • Ensuring adherence and department records are accurately maintained in regards to the companies Gifts & Entertainment policy.
  • Assist in organising and attending department specific events (team-building, town halls, coffee meet/greets).
  • Point of contact for maintaining the internal Legal directory.
  • Ensuring the department follows the correct branding and making amendments where necessary.
  • Weekly review of expenses reports and following up to ensure these are processed to meet enterprise policies.
  • Member and contributor to the Legal Department's conduct committee task force
  • Responsible for handling the EMEA Legal Department's approach to GRM (Global Records Management) and implementation of changes to ensure compliance with GRM standards.
  • Contributing and/or owning projects either within the department, or enterprise-driven.
  • Occasional presentations to small groups within Legal e.g. conduct awareness, encryption policy.
  • Contribute and present to the Legal Admin population during regular catch-ups.
  • Representing the Business Support Manager in meetings on any given subject and providing concise notes.
  • Knowledge / Experience:

    • Advanced administrative skills and experience required.
    • Excellent organisational skills are vital.
    • Concur experience essential.
    • Advanced Microsoft Office Word experience required.
    • Intermediate Microsoft Office Excel and PowerPoint skills.
    • Demonstrable SharePoint knowledge.
