What it's about

The PA & Divisional Administrator role is a pivotal one - strengthening the support available to the Operations Director and to members of our divisional Senior Management Team (SMT).

Cambridge Assessment International Education delivers examinations to schools and learners worldwide. We are a £150M revenue business, operate in 160+ countries and every year hundreds of thousands of candidates take our examinations. Our Cambridge based Operations Division manages the data and processes that make all of this possible - ensuring that we get the right results out on time to our schools and candidates worldwide.

We are seeking to appoint a PA & Divisional Administrator who as part of a team led by the Support Manager will support primarily our Director of the Operations Division so they can focus on leading the division effectively.

What you'll be doing

The work for this position is aimed to support the Director Operations, ensuring they are in the right place, at the right time, with the right information, and facilitating our executive governance and decision-making.
In addition the post will also involve support to other members of the divisional SMT as required.
This post will be supervised by the Support Manager on day to day proceedings, but will have autonomy in arrangement of own work and variation to the daily routine.

The primary responsibilities include:
  • Act as gatekeeper for the Director, ensuring they reach meetings timely and prepared
  • Manage Director's internal and external communications, calendar, scheduling and travel arrangements
  • Organise, prioritise and handle time-sensitive, confidential information; keep and retrieve electronic and physical records.
  • Tracking Director's team and stakeholder contact and use of Director's time
  • Monitoring key administration, such as approval processes, under Director supervision
  • Communicate, produce and/or maintain action trackers, divisional records and analysis
  • Minute taking, gather data and inputs, prepare reports and briefing documents, work with financial and other numerical data and investigate or analyse information enabling Director to focus on high level decisions
  • Other support, as requested by Director Team and SMT


What we're looking for

The successful candidate is highly motivated, enthusiastic, organised, expected to have appropriate office and IT skills, and be comfortable working on their own initiative with minimal supervision. They are a proactive self-starter, resilient and flexible, with ability to work well under pressure, prioritise workload and meet multiple deadlines with a high level of accuracy and attention to detail.

Furthermore they are professional with staff, stakeholders and suppliers, and confident to exercise judgement and initiative.

They have a good sense of humour, and are tactful, considerate, patient, diplomatic and discreet.

Qualifications
  • Minimum: GCE A Level s, with GCSE English Language and Mathematics at grade C or above.


Skills
  • Good level of computer/ IT skills, including Outlook (advanced), Word, Excel, PowerPoint
  • Excellent communication (verbal and written) and interpersonal skills
  • Ability to influence effectively
  • Intelligent and organisational talent


Experience
  • Experience of administrative work or coordination in a complex setting
  • Working with Director level staff or equivalent is preferable
  • Diary management and arrangement of international calls, meetings and travel.
  • Track record of successfully working with a team to provide high quality work to tight deadlines and of working on own initiative
  • Experience of working independently and flexibly whilst delivering to targets
