What it's about

The Reception Supervisor is responsible for the day-to-day supervision of the Reception services in Cambridge including staff management and administration tasks. Working closely with the team in providing excellent customer service to all internal and external customers, and responsibility for ensuring compliance with policies and procedures with particular focus on security and building access, and health and safety.

What you'll be doing
  • Manage and provide professional, efficient and prompt Reception Services across Cambridge ensuring that all Staff, visitors, contractors and temporary staff are given the correct access preventing any breach of security at point of entrance.

  • Manage and provide professional, efficient and prompt telephony services at all Cambridge sites

  • Manage the day-to-day operation of Card Exchange - visitor management and Xplan-Access control, ensuring all of team are trained in day-to-day operation.

  • In collaboration with the Front of House Coordinator, ensure a senior presence at Reception covering peak visitor arrival times and opening hours of the building, as required.

  • Manage all direct reports providing them with training and development opportunity. This process will include carrying out EPD/SF and implementation of the agreed training plan

  • Manage sickness absences including return to work discussion for direct report and ensure that contingency plans are in place to cover unforeseen circumstances within Cambridge Sites.
  • Deputise for the Front of House Coordinator in their absence. To include day-to-day management for all staff and the Reception service during this time.

  • Ensure all Reception staff are trained on making meeting room bookings using MSS; support them in maximising the meeting room use resource efficiently and within the agreed timescale.

  • For allocated site, ensure all records and information are up to date and easily accessible for audit purpose

  • Assist with reviewing existing policies and procedures and make recommendations that will enhance the effectiveness of the Reception Services/Front of House service.

  • Within sites , ensure staff compliance to all internal procedures and policies and legislative compliance such as Health and Safety, Fire Policy, and Uniform policy, to include high standards of tidiness and cleanliness of the reception services area and overall presentation of staff within allocated site to ensure that the Reception Services' reputation is maintained

What we're looking for


Customer Services or relevant industry experience


Experienced Computer User, Advanced Excel Skills, and experience of working with database applications.
Strong and confident verbal and written communications, extensive interpersonal skills with an ability to liaise with people at all levels with an understanding of social etiquette.
Extensive organisational skills with an ability to thrive in a fast paced environment.
Be able to prioritise and problem solve.
Attention to detail in all arrangements, planning and operation with an ability to multi-task Committed to delivering excellent customer service.
Ability to work flexible, manage changes and contingencies in schedules and events, prioritise under pressure without compromising quality.
Proactive, can-do attitude to identifying and resolving potential issues.
Flexibility in providing support to team members and the wider Services & Property team.


Proven experience of working in a busy customer facing role.
Previous Experience in reception services.
Previous experience leading a team.
Previous experience in a fast paced environment.
