REED Business Support are working with an expanding company with offices in Mansfield, for a Permanent Full Time Administrative Assistant.

You will provide a comprehensive administrative support service to the Regional Manager to enable the effective delivery of the charity’s miners’ welfare support services, trust fund secretarial responsibilities, bookings and support services to community hall and the efficient operation of the Regional Office.

Main Responsibilities:
- To support the Regional Manager in processing and responding to a range of enquiries from independent miners welfare charities and to liaise with Head Office for any such information which may be required
- To deal with general telephone enquiries and those received in person, disseminate documents and circulate materials on behalf of the charity
- To deliver a full range of office skills to a high standard including minute taking, typing of correspondence, reports, agenda papers, special projects, photocopying, scanning, filing, archiving, dealing with the post and dealing with visitors to the office
- To arrange trustee meetings and to provide comprehensive meeting papers, conduct follow up work and to liaise with the group members
- To provide additional support to other members of the management team where appropriate
- To process weekly absence returns for all office staff including the proper recording of sick notes for submission to Head Office
- To process and record monthly travel and staff expenses for submission to Head Office
- To process office invoices and ensure that each are properly authorised
- To provide office cover as part of an established administration team, and arrange administrative support through periods of holiday / sickness absence.
- To ensure that the range of office suppliers are maintained and updated including sourcing new suppliers, pursuing value for money and that their attendance at the office is properly monitored

Qualifications and Experience:
- Proven communication skills, both written and verbal
- Good IT skills suitably qualified in the use of Microsoft Packages
- Ability to prepare reports, arrange and organise meetings
- Experience of minute taking
- Experience of using databases
- General office skills i.e. filing, photocopying, scanning etc. and experience of working in a busy office environment
- Good planning and organisational skills
- Have a systematic and logical approach
- Team working
