We work a 40 hour week either 8am-5pm or 9am-6pm Monday – Fridays.

To provide administrative support to the operation assisting the business to maximise its revenue, provide a world class service to clients and candidates. As appropriate support the Quality & Compliance team through the provision of central administrative functions such as Criminal Records Bureau (CRB) and Disclosure Scotland (DS) processing.

PRINCIPAL ACCOUNTABILITIES
 Process all new starter/leaver details so that all Temporary Employees are paid on time and accurately.
 Undertake weekly Temporary Employee payroll in line with agreed timescales. This includes sending (where applicable) and processing timesheets, annual leave, expenses, sick pay and adjustments.
 Assist with reconciliation of all outstanding timesheets/invoices using the QMS system
 Address all Temporary Employee salary queries efficiently and liaise with other departments where relevant.
 Ensure required monthly reports are produced and provided to relevant parties.
Managing Temporary Employee/Client Relationships
 Provide a professional and honest service to all candidates and create a favourable impact with any candidate contact
 Responsible for managing candidate drop-ins into branch
 Queries are dealt with quickly and efficiently, with follow ups where necessary.
 Profile records/paper files are maintained and updated with relevant information. Telephone conversations are recorded.
 Client and market knowledge is up to date and relevant in order to ensure a professional and confident service is provided
 Compliance
 Compliance requirements are communicated to candidates and application packs issued upon registration and monitored
 Profile database is kept up to date with accurate and relevant information
 CRB disclosure requests are completed correctly and without errors. Records are maintained to ensure all Temporary Employees have a current CRB Disclosure on file.
 Responsible for providing a final check in CRB process to help minimise the loss of revenue through high CRB/DS error rates
 Ensure compliance with CRB/DS code of conduct
 Liaising with branches across all divisions to ensure swift and accurate processing of CRB/DS applications
 Liaising with candidates (where appropriate) to ensure prompt receipt of relevant information to process CRB/DS applications
 Liaising with CRB to develop close working relationships and ensure smooth channels of communication
 Credit control procedures are observed such that no bad business or unauthorised accounts are supplied.
 Ongoing compliance monitoring is undertaken such that all audits, both internal and external, are successfully completed.
Database Management
 Correctly updating relevant electronic and hard copy files
 All conversations and activities to be updated on Profile
 Maintain CRB/DS database and returns tracker

KEY PERFORMANCE INDICATORS
 Adherence to all compliance requirements for all candidates placed
 Payroll completed to timescales, with minimal errors.
  Performance to agreed activity levels.
 Database accurate and up to date.
 Achievement of personal compliance targets

PERSON SPECIFICATION
Qualifications GCSE Maths and English or equivalent (grade C or above)
Experience  Experience of working in a customer or client facing role, or administration in a process driven environment
 Experience of extensive
Knowledge  Proficient in the use of a range of computer packages such as MS Excel, MS Word and databases
 Proficient verbal and written communication skills including an excellent telephone manner
