Contract: Full Time, Fixed Term - 12 months (This role can be classed as a secondment opportunity for internal candidates with line manager approval)

Salary: £19,600 - £22,500

What it's about

We have an exciting opportunity for an experienced office administrator to join our in-house travel team. Working within a small and dedicated team, the Travel Office Administrator will be responsible for providing admin support to our team, and providing our customers with excellent customer service and a seamless travel experience.

What you'll be doing

This is a varied role and you will enjoy co-ordinating a range of administration tasks, as well as spending time dealing direct with our customers and travel suppliers. Main tasks include:
  • Support the Travel Team administrative programs, including prepare and issue Travel Packs for staff; Maintain trip database, manage ad-hoc filing and archive document scanning.
  • Maintain the Travel Expense programs, Including Access Pre Paid cash passports, foreign currency and reconcile traveller expense claims
  • Review supplier invoices; Raise Purchase Orders and reconcile expenditure
  • Maintain Rail ticketing system: Maintain user accounts, issue tickets/refunds and assist with monthly Invoice.
  • Be first point of contact for Travel Office users - answering phone calls, monitoring e-mail traffic, greeting walk-in customers, etc.
  • Support with researching, requesting and issuing travel visas
  • Support the Travel Coordinators with utilising travel-booking software and Third Party Travel provider(s) to procure flight, accommodation, car hire & transfers
  • Support the Travel Supervisor with monitoring submitted insurance claims/queries

What we're looking for

We are looking for a focused and enthusiastic individual with office experience. Our ideal candidate will have strong communication and administration skills and the ability to work well within a fast paced, small team environment.

  • GCSE grade C or above in Maths & English (or equivalent)

  • Proficient mathematical skills with a good understanding of spreadsheets
  • Proficient with Microsoft Office products (Excel, Word, Outlook)
  • Ability to follow processes
  • Ability to prioritise workload to meet deadlines/service levels
  • A good team player/collaboration skills
  • High level of customer service skills
  • Good interpersonal skills and excellent communication skills (written and oral)
  • Good organisational skills

  • Experience of using Microsoft Office products (Excel, Word, Outlook)
  • Experience of working in a Customer Service Role
  • Experience with maintaining financial records and databases

  • Able to consistently deliver accurate work with a good eye for attention to detail
    Sense of responsibility/ownership for your processes
  • Ability to use tact and diplomacy when dealing with all customers while maintaining strict confidentiality
  • Have a strong customer focus and accomplished interpersonal skills
  • Able to work unsupervised
  • Ability to think quickly and recommend solutions to posed problems
