My client, a team of specialist engineers, are looking for a Business Support Adminstrator to support their team. Based in the offices in Cobham, Surrey, you'll be providing an effective, efficient and professional support service to all internal and external customers, whilst monitoring costs and quality of service. You will also assist the company in the delivery of its key objectives in compliance with the quality management systems.

As this is a small team, this is a very 'hands on' and rewarding role. Key responsibilities include:
  • Ensure business development activity is entered onto CRM, then regularly run and issue report to the Management Team.
  • Ensure Directors' contacts and CRM and customer records are kept up to date.
  • Regularly review the annual leave reports to provide line managers with the necessary information to manage their resource, particularly over holiday periods
  • Run regular weekly and monthly reports as required by the Director(s)
  • Reception duties, including welcoming visitors, answering calls, organising couriers, post, organising diaries and travel, meeting room bookings, and ensuring reception is tidy at all times.
  • Office Management duties, including providingan initial point of contact for individuals & items entering the office, raising POs to supply chain and orders to replenish stationery and catering supplies and managing incoming deliveries & outgoing returns
  • Coordinating project tender packs in preparation for estimating
  • Coordinating Technical Drawing packs for completion or project initiation between drawing dept, customer & internal HG Teams
  • Assist with maintaining QA documentation - i.e. update energy supplies log, paper usage log, etc.
  • Provide support in the delivery of key objectives in compliance with the quality management systems.
  • Ensure the office complies mandatory Health & Safety Regulations.
  • Work alongside the IT department facilitating use, upgrade and repair of all IT equipment.
  • Distribute weekly toolbox talks to Project Team and collate info required to send out to customers
  • Assist with technical submissions/ drawings/ O&M Manuals
  • Support inbox management from support inbox to CRM System
  • Organising company and customer events

Essential Skills:
  • Experience in same or similar position
  • A "can do"/proactive attitude
  • Ability to project a positive and professional attitude at all times
  • Competency in MS Office and Adobe Pro

Desirable Skills:
  • Knowledge of Microsoft Access/Project
  • Knowledge of Online Filing(G-Suite)
  • Knowledge of ISO9001 & ISO14001
  • First Aid Qualification
  • Knowledge of QA and Health & Safety practices
