What it's about

To provide administrative assistance to the Director of Education Transformation and Alliances and administrative support to the wider B2G Projects team within the Partnerships, Projects and Policy division

What you'll be doing

PA to Director of Education Transformation and Alliances
    • Providing administrative assistance; including processing correspondence, electronic communications, diary management, document preparation for meetings and trips, securing travel arrangements (flights, visa, transfers)
    • Attending certain regular meetings as minute taker. Assisting with internal and external communications, including responding, where necessary, on behalf of the Deputy Director.
    • Co-ordinating responses to stakeholders' requests, with deadlines.

Providing project management assistance to B2G Projects staff engaged in various projects 3. Administrative support for wider PPP team where appropriate
  • Projects team travel arrangements (flights, visa, transfers)
  • Coordination of high-profile Ministerial delegations to Cambridge
  • Assistance to the team including creation of documents using PowerPoint and Visio
  • Providing management assistance for consultants, including arranging visits/payments/travel/ managing budgets etc. and liaison and interface with other staff
  • Manage expense claims for team members
  • Schedule meetings, room bookings, setting up rooms for team meetings (screen, laptop, Vidyo etc.)
  • Membership registration and subscriptions
  • Managing team collateral, stationery etc.
  • Supporting and maintaining processes, systems and databases as required (e.g. F Drive, SharePoint, CRM
  • This involves maintaining databases, spreadsheets, record keeping etc. Includes contribution to cross-business working groups where appropriate and coordination of divisional meetings and events.

What we're looking for

  • Degree is preferable

  • Office/Admin experience
  • Strong minute-taking skills
  • Excellent attention to detail
  • Word-processing (Word/Excel/PowerPoint/Outlook)
  • Ability to work under pressure in a very fast-paced environment
  • Diplomacy and ability to maintain confidentiality
  • Able to take initiative and work as a team player.
