My prestigious client based in central London is on the search for an experienced Executive Assistant to join their fast paced and exciting team based in their stunning offices here in London. They operate on a global level within the private equity industry with other offices in locations from Singapore all the way to the United States.

The ability to manage your time effectively is of the upmost importance in this role, especially when managing multiple diaries and arranging travel for a senior team of investors for my client. Accuracy and consistency go hand in hand with this position and therefore the ideal candidate will have 5 years experience in a similar role and sector.

The duties within this role will include but will not be limited to:
  • Use the electronic calendar in Outlook extensively, requesting others to attend meetings and coordinate their responses and, likewise, ensure the team responds to others' requests for attendance
  • Organise resources required for local and remote meetings including meeting rooms, offices, food and beverages as needed
  • Stay on top of things at all times, and keep track of assignments to be completed or follow ups to be done
  • Prioritise, delegate and communicate effectively
  • Manage the printing and production of key transaction related documents (presentations, IMs etc.)
  • Take ownership of and manage the team's travel reporting and administration process including maintenance and notification of passports and visa expirations
  • Coordinate and proactively manage extensive travel arrangements, both domestic and international, working with the business's travel agency
  • Manage the team's expense tracking and reporting in line with company policies
  • Optimise schedules while keeping travel humane; attention to and awareness of personal time is key
  • Ensure travel itineraries are updated in executive's calendars prior to travel and updated as necessary
  • Track potential travel issues and provide solutions
  • Stay informed and alert of where team members are / what they are doing; the role requires the candidate to be one of the gatekeepers of the team
