Are you an experienced PA?

Are you looking for an exciting new role within a large and expanding company?

Being the first point of call for the Operations Director and all Regional Directors you would be responsible for the provision of remote administrative and secretarialsupport to the Operations Director and Regional Directors for the North Hub, as well as interfacing with all areas of the business, external organisations and individuals, including customers and suppliers.

Key Responsibilities and Tasks to include:
  • Proactively manage the Directors' diaries, to include meetings, travel and calls. In particular, organising the Directors' schedules well in advance giving options to minimise travel and time out of the business, whilst taking into account other commitments and urgency, and ensuring all relevant needs are met
  • Organisation of meetings, venues, events, travel, accommodation and other logistics
  • Arranging, attending and taking minutes at the North Hub and Regional meetings and others where required
  • Compilation and distribution of minutes
  • Preparation, editing and distribution of reports to the Directors and Practice Management teams
  • Preparation of presentations and other documentation in line with the CVS branding and style
  • Point of contact for queries from North Hub Practices
  • Assisting with the complaints process for the North hub, ensuring deadlines are met
  • Maintaining accurate and up-to-date information of North Hub Practices on the company Site List and other databases
  • Preparation of induction programmes for new staff, as required
  • Provide support to the Executive Assistant and other Directors in the Division as appropriate, to help deliver the Division's clinical, commercial and operational targets
  • Assisting with on-boarding, ensuring that all necessary forms are completed and equipment ordered
  • Recording of and notifying the Executive Assistant of the Operations Director's holidays and whereabouts
  • Recording of Regional Directors' sickness and following procedure in line with HR requirements

Experience and skills required:
  • Previous experience supporting senior directors in a secretarial/PA capacity
  • Demonstrated high level of organisation & time management skills, particularly in an environment with multiple, and sometimes conflicting priorities
  • Ability to arrange complex diaries with a focus on minimising travel and time out of the business, whilst taking into account clinical commitments and urgency, researching and delivering the best options
  • Excellent word processing skills (60+ wpm).
  • High level of skill in preparing creative, professionalpresentations and reports
  • High level of skills in using technology, including software such as Microsoft Office packages, internet and databases, and technology hardware, such as laptops, projectors, printers, phones, binding machines, etc
  • Solid numeric and literacy skills
  • Demonstrated ability to stay calm and work effectively under pressure
  • Demonstrated ability to work independently with minimal supervision
  • Demonstrated ability to handle information of a sensitive nature and maintain confidentiality at all times
  • Secretarial or Business Administrationqualification or equivalent is preferred
  • Previous experience in veterinary healthcare or services-orientedenvironment would be advantageous
  • A Full UK Driving Licence and own vehicle are advantageous in this role due to travel requirements
