Civic Officer & Events Coordinator - We delighted to be advertising on behalf of a Company who are currently looking for a Civic Officer & Events Coordinator to join their team based in Stowmarket, to provide direct secretarial support to the Mayor, to organise the calendar of civic events under the direction of the Communities and Partnerships Manager, providing effective administrative and organisational support for all civic activities and events. The Civic Officer & Events Coordinator role is a responsible and varied role, working 24 hours a week on a permanent basis. The Civic Officer & Events Coordinator key responsibilities will include: Responsible for organising and coordinating all civic events under the direction of the Communities and Partnerships Manager that take place each year, including Civic Service, Remembrance Day, Christmas Town Carol Service and others that may arise. Liaise with officers across the Council on the planning and organisation of all civic events, involving the Mayor, Deputy Mayor, Councillors and / or other dignitaries. Providing advice and requirements regarding the organisation of events, including road closures. Responsible for the Chains of Office, robes and provide advice on the appropriate 'dress code' for particular civic duties, and whether Chains should be worn. Undertake financial administration of the Mayor's Fund, including processing payments, contributions and donations and support to the Mayor for their annual event to raise funds for their chosen Mayoral charity. Responsible for managing the civic and ceremonial budget including preparation and arrangement of purchase orders or petty cash. Role is positioned on Reception and holds responsibility for Reception duties. Skills and Attributes: Experience of working in a local authority and/or the organisation and administration of events Can work calm and effectively under pressure, able to prioritise own workload and operate with limited supervision to tight deadlines. High level of numeracy and literacy to write clearly and concisely with attention to detail. Clear written and excellent verbal communications and interpersonal skills. Positive attitude and self-motivated, a good team worker, but also able to work on own initiative. Organised, flexible and competent at prioritising workload. Able to deal with a range of people in a professional and courteous manner This is a part time permanent role working 24 hours per week on Monday, Tuesday, Thursday and Friday 9am to 3pm. There are some occasional evening meetings that you are required to attend 1-2 per year and Attendance at weekend evenings 3-4 times a year. In return are offering a competitive salary of £12, (depending on experience).
