An exciting opportunity has arisen for a Personal Assistant to the CEO, working for a successful Trade Association within the Leisure, Tourism and Heritage Industry due to growth and demands within the organisation.

You will report directly to the CEO who represents the company and you will be the point of contact for queries and providing information, liaising with the CEO, Senior Management and Members.

Due to the Company's geography throughout the UK, this position can be based in any location and the successful candidate will be able to work from home with occasional travel on both weekdays and some weekends to assist with and attend seminars and business meetings across the UK

We are looking for someone who is a self-starter, trustworthy and able to work on their own initiative, providing Administration / Personal Assistant support to the CEO of the organisation but also be able to take direction where needed.

Roles and Responsibilities of the PA will include:
  • Acting as first point of contact: dealing with emails and phone calls
  • Carrying out Administration and miscellaneous tasks to support the CEO
  • Managing diaries and organising meetings and appointments
  • Booking and arranging travel, transport and accommodation
  • Assisting with organising events and conferences and attending them when necessary
  • Reminding the executive of important tasks and deadlines
  • Compiling and preparing reports, presentations and correspondence including conducting research and gathering information as required
  • Taking and preparing minutes of board meetings
  • Managing databases and retention of documents
  • Implementing and maintaining procedures and administrative systems
  • Liaising with members and suppliers
  • Account Administration to include collating and organising finance data and expenses, with elements of invoicing and credit control. If you have used Sage or QuickBooks this will be an advantage but not essential
  • Organising the distribution of briefings and other material
  • Supporting the administration of the Board meetings by producing and circulating the CEOs briefing packs electronically ahead of meetings

Key Skills and Knowledge we are looking for:
  • Extensive administrative and office organisation experience in a busy office and at a senior level
  • Dealing with confidential information with discretion, tact and sensitivity
  • A high standard of accuracy and attention to detail
  • Able to build and maintain effective working relationships with a wide range of people, for example dealing with opinion formers and senior executives
  • Proven experience of managing complex and changing diaries
  • Ability to work effectively under pressure, juggle conflicting demands and manage multiple tasks
  • Skills in maintaining office and administrative systems and of devising new systems or improving existing systems where appropriate
  • Able to intelligently assess and anticipate needs
  • You must be able to work from home with a proven ability to work flexibly and on your own initiative unsupervised
  • Strong Organisational skills
  • A professional attitude with good humour, optimism, perseverance and resilience
  • Competent IT Skills, including Outlook, Word, Excel and PowerPoint. Experience with Mailchimp, Eventbrite and Account Packages would be advantageous.

In return the company are offering a salary from £22k to £25k per annum depending on experience

General Hours are normally 9am to 5pm Monday to Friday however there is some flexibility with the working hours. On occasions there may be a need to attend and help run conferences and meetings

25 days Holiday + Bank Holidays

All Travel Expenses are included to meetings and seminars. You will be provided with a company laptop, printer and mobile to be able to work from home.
