We have a new role available for our client who are based in Stansted, Essex. They are looking to recruit an Events Officer who is professional, efficient and ideally has a background within a similar role.

Working as part of the Events team, support the Events Manager and the wider team to plan, administer and deliver a range of international events each year.

Key Responsibilities of the Events Officer;

Event Delegate Management

• Assist with/manage the set-up of the event registration processes on our system

• Work with the Manager to manage delegate registrations on the system including sending invitations, handling delegate queries, undertaking VIP and member registrations, produce visa letters and badges

• Work with the Finance Team to manage delegate financial queries related to event registrations including invoices, credit notes, discounts and cancellation charges

• Lead on planning of registration areas on site and manage the process throughout (site set up, equipment ordering and set up, management of assistants, management of flow of people, delegate badges and giveaways, delegate queries, site breakdown)

Event Technical Programme

• Assist with management of abstract and peer review process

• Assist with production of event technical programmes for publication

• Assist with administration of review teams and session chairs (manage changes, invite reviewers and chairs, set up on system, answer queries, chase for responses and keep records)

Event Administration

• Prep meeting agendas in conjunction with Events Manager and take meeting minutes

• Travel with Events Manager to assist with planning meetings

• Spend a minimum of 20% of your time working with the Education Manager to provide administrative and organisational support to the Student Opportunities Programme

• Update Project Plans

• Assist with management of rooming lists and travel booking

• Assist with administration of other events and tasks including, but not limited to, sending speaker chair and reviewer invitations, chasing for responses, chasing for biographies and photos, travel details and other responses and keeping accurate records

• Assist with writing copy for webpages and managing certain pages ensuring information is always correct

• Contribute to the continued effort to promote the company on an international stage by representing the organisation and contributing as required and appropriate within the scope of this job description.

• Develop and sustain appropriate working relationships with all members and volunteers.

• To handle any other duties as defined by the Events Manager.
