Who will I be working for?

All interviews for the role will be carried out remotely initially. This temp assignment will be home-based with equipment, training and support offered.

What will I be doing?

The Contract Assistant role is a critical component supporting the Legal, Finance, and Customer Success teams. Initial focus would be on a new Framework Contract which will involve the set up of approximately 500 related Buyer contracts. Role may subsequently require wider support activity across key accounts.

Duties and Responsibilities:
  • Working closely with Legal and Finance teams to establish clear internal processes
  • Managing routine comms with new Buyers via a dedicated mailbox.
  • Once processes established, updating Buyer contracts (Word documents) to ensure each one has the right organisation and contact details.
  • Ensure all contract paperwork is stored and version controlled in the appropriate places (likely to be Salesforce, but could be SharePoint) as well as Contract Databases .
  • Make sure all contracts are sent out for signatures and progress tracked/ reported regularly
  • Chase down any contracts that have not been signed, or need additional work before they can be signed.
  • Work closely with the Finance team to ensure all details are correctly set up for the invoicing process

What skills and experience are required?

You will be:
  • Highly organised
  • Diligent
  • Eye for detail

With experience within:
  • Completed, accurate contract documents.
  • Documents stored in relevant location within allocated systems (Salesforce/SharePoint).
  • Previous experience in an administration role and/or legal/commercial team.
  • Proficient in use of MS Word and Excel, and mail merges if necessary.
  • Comfortable with everyday computing tasks.
  • Professional communications in written and spoken contexts.

What else do I need to know?

This a temp role, for 3 months initially, furhter opportinty may be available - paid hourly based on a completed time sheet with full-time hours required.

This role will need to work from home at present due to COVID regulations however a lap top will be provided as will training and support throughout the contract.

Please note when working in the office under normal circumstances this role is Oxford Science park based, with parking facility and public transport routes served.
