Job role: Legal Clerk (Residential)

Salary: GBP25,000 DOE

Office Angels are currently working with an long and well established client, A new international law firm one of the top 50 in the UK based in Central Birmingham, we are looking for a experienced legal secretary with three years minimum experience required. With more than 1,400 legal professionals across offices in 18 cities worldwide and specialised expertise in countries around the globe, this would be a very prestigious company to work for.

As a legal secretary you will be expected to join the residential development team which comprises of 4 partners and 15 lawyers focusing solely on advising residential developers. Around 90% of the team's work is for national plc house builders, but it also acts for some commercial developers in relation to mixed use schemes, some smaller niche enterprises and some landowners.

The main role and responsibilities of a Legal Clerk (Residential) will include, but no limited to;

Administrative

* Diary Management, including organising conference calls and meetings, and travel arrangements.
* Filing and archiving.
* Opening new matters both on Expert and the case management system.
* Processing searches and Land Registry Portal applications.
* "Holding the fort" in fee earners' absence.

Communication

* Take internal and external telephone queries, responding as appropriate and/or ensuring that all messages are passed on in a timely manner. Ensure that all client-related correspondence is passed on to the appropriate fee earner and follow up to ensure that matters are dealt with proactively if the relevant person is out of the office.
* Monitor post and/or emails and deal with as appropriate. Respond to routine queries using own initiative.
* Liaise with business support departments on behalf of fee earners as required.
* Liaise with the Practice Coordinator over any planned absences, arranging cover as necessary and communicating with the relevant fee earners.

Document Production

* Creating and maintaining workflow schedule for Site Set-Up Team, including liaising with the Plot Team Manager on site allocations within the Plot Team and transferring that information onto workflow schedule.
* Setting up clients, development sites and plot files on the case management system.
* Transferring site set-up documentation onto the case management system and updating that documentation as and when required (training will be provided).
* Liaising with the Land Team and third party solicitors in order to collate information required for new sites and loading such information on the Plot Sales Portal and client gateways (as necessary) and subsequently updating such information as and when required including checking the Planning Portal for associated planning documentation.
* Managing the submission of discharge documents for the Plot Team including Land Registry applications, title restrictions and requisitions and liaising with the client and the Bank using the dedicate client portal.

Financial

* Billing and management of fee earners' financial hygiene.
* Liaise with finance and cash functions as appropriate (including the payments to be made to the developer clients under the Help To Buy Scheme).

Team Duties

* Assist others in the Group whenever there is spare capacity.
* Pick up telephone calls for colleagues when they are away from their desk.
* Work effectively with other legal Groups and support departments as required.
* Seek out opportunities to pass on knowledge to colleagues.
* Any other relevant duties as reasonably requested by fee earners or Practice Operations Manager, or a person of an appropriate seniority.

Key Skills and Experience for Legal Clerk (Residential)

* Advance knowledge of Microsoft Word, Outlook, Excel, PowerPoint, research tools and other systems implemented by the firm.
* Excellent telephone manner. Confidence to deal with routine client queries and take the necessary action in the absence of fee earners.
* Excellent communication skills
