Are you an exceptional Office & People Manager with a keen interest in Wealth Management? We are looking for a motivational, experienced and confident Practice Manager to operationally run a very successful practice of St. James's Place Wealth Management based in Welwyn, Hertfordshire.

Overall job purpose

The Practice Manager will have responsibility for the sole running of the Administrative Back-office team and the office environment, delegating to team members where required to ensure that the operational needs of the Business Owner & the Practice as a whole are met on a daily basis. They will be responsible both operationally, and strategically in line with the Practice overall requirements.

Role content

Leading a team to meet the organisational goals, the role will be both busy and involved, and will include a good mix of PA / Client servicing, Technical Administration, Office & HR Management, and general operational / administrative duties.

HR Management
• Full management of the Administrative / Paraplanning team, from an operational and HR perspective
• Managing staff motivation, attendance, job roles, appraisals, holidays & training
• Management of all internal HR issues (with support of Business Owner where required)
• Identifying opportunities for the Practice and staff to develop
• Role of direct Manager / Supervisor
• Lead weekly team meetings and quarterly Practice meetings
• Delegating work to the team on a daily basis.
• Ensuring all team members are flexible in approach to meet the needs of a small but very successful team

Operational Management
• Management and monitoring of team targets, workflow, service standards, and business turnaround times
• Keeping work in progress spread-sheet up to date
• General physical management of the office environment, ensuring a positive working space / environment. Keeping the office area tidy and presentable at all times.
• Ability to willingly turn their hand to many tasks as required in a small business environment

PA / Client servicing
• Proactively manage the company email inbox, and distribute work accordingly to the team.
• Managing the Partner / Business Owner's diary on a daily basis including both work and personal where required, ensuring they have everything they need for their working day in advance.
• Booking travel, running errands where required (directly or delegated to team members).
• Managing and leading the team - deal with all non-technical incoming calls from contacts and clients, including all client service related queries. Appointment making for all clients and prospect clients. Reconfirming meetings in advance. Being the point of client escalation for the team.
• Meeting preparation & post meeting debriefs the Partner / Business Owner to discuss relevant next steps
• Managing SJP organised events

Technical Administration
• EBS application processing and advice sets
• Preparation of critical yield calculations
• Packaging up cases for the Paraplanners
• Completion of paperwork and following up / submission to SJP where appropriate
• Processing switches and surrenders
• Using task management system in line with service standards

Knowledge & Skills required

Personal Attributes
• A minimum of 2 years of working within a similar role, knowledge of financial services preferable.
• High level of computer literacy i.e. Word, Excel, Outlook, PowerPoint
• Able to work off their own initiative. Ability to be able to prioritise effectively.
• Flexible approach to workload and day to day requirements of the business
• Enjoys working within an EA/PA/Office Managerial role and experience of dealing with HNW individuals.
• Excellent service level standards and attention to detail
• Trustworthy and loyal. Longevity in the role is important.
• Excellent telephone manner (confident on the phone) and well presented.
• Good team leader
• Comfortable working in a family run business office environment
• Driving license and own car - required due to location of the offices.
• Resilient in terms of character, with ability to deal with strong characters and personalities on a regular basis and individuals of high net worth.
• May be required to travel to London or alternative locations for training courses

Additional Information:
• Hours 8.30am - 5.30pm, Monday to Friday
• Location - Welwyn, Hertfordshire
• Excellent Salary - Basic GBP35-GBP50k OTE depending on experience and qualifications.
• Flexible Benefits GBP2,750 (included within OTE) - Can be used for additional benefits at candidates own discretion / or taken as cash.
