Opportunity:

Independent firm of chartered accountants in the Tees Valley is looking to appoint an individual to help manage and develop their growing payroll department.

They would have responsibility for managing the existing team of 5 assistance managers / processors and delivering first class service to over 300 clients who use the payroll bureau.

The desired individual would have the following key skills:

•Extensive experience within a payroll position with great knowledge and understanding of all HM Revenue & Customs and auto-enrolment pensions legislation and requirements including statutory regulations and payments.

A professional qualification demonstrating their technical expertise would be desirable but not essential.

•Excellent people skills in order to be able to both manage the team internally whilst also dealing with client queries and challenges.
•A track record of business development to assist the partners in growing this department.
•Confidence and having a track record of delivering training, both internally and, also externally to clients through both one on one training and external seminars.
•Excellent organisational skills to enable we always deliver to clients within the required timescales.
•Able to demonstrate their ability to strengthen systems, procedures and controls to make the department more robust and efficient.
•Experience or working in a payroll bureau environment and of Sage software would be advantageous.
•Experience of managing a process for billing clients and ensuring income is maximised.
Develop and Implement Training Plans for Team:

•Training sessions to be implemented to update team on changes in legislation, software changes and new procedures.
•Where necessary source relevant external training courses for attendance by staff or by Manager.
•To provide customer service training to team.
•To develop training plans for new team members.

Essential experience:

•Bureau Multiple Payrolls for Clients

Staff Engagement and Development:

•To provide an effective appraisal process which allows for constructive feedback on performance issues and agree a personal development plan with each team member.
•To monitor performance against the goals and objectives outlined in the appraisal process.
•To raise areas of concern with the member of staff and work towards a resolution whether it be through coaching or performance management.

Technical Knowledge:

•To maintain the technical aspects of the Managers role and provide a clear understanding of new legislation to with no ambiguity.
•Ensure all updates to software are performed on a regular basis to ensure the latest version of software updates are implemented.
•To liaise with software provider to raise issues and obtain an timescale for resolution.
•Research new technology and/or software to improve efficiency and reduce costs whether it is time or resources.

Billing:

•To ensure billing procedures are followed and reconciled at month end.
•Rectify any errors in billing to the client's satisfaction.
•To ensure partner has visibility of billing spreadsheet in good time prior to invoices being raised.
•Produce procedure notes.

Day to Day Management:

•To ensure staff are performing their tasks in a efficient and productive manner
•Implement changes that will improve efficiency and cut down on unnecessary data imput.
•Monitor schedules and ensure payroll deadlines are met.
•Ensure there is a adequate timetable for checking payrolls prior to sending to client.
•If mistakes are identified work quickly to correct these liaise with client and partner responsible and put in place procedures to prevent re-occurrence.
•Ensure that each client file contains the most up to date information and that files are reviewed periodically.
•Support the team by having a portfolio of clients to process.
