We are currently seeking an Order Processing Administrator for our office in Letchworth Garden City. This will be a permanent position working day shifts with full-time hours.

The successful candidate will become a member of a well-established team that provides the highest standard of professional publishing services for academics, scientists and business professionals who write and publish their work in the English language.

Our clients work and study in many different countries, so communication tends to be via email. Customers usually send us their work as electronic files (Word documents are the most common), and we then send those documents, along with any special instructions, to members of our expert team. All jobs are distributed according to the availability and specialisation of our team members, and each work is assigned a specific deadline for completion that must be met in order to fulfil the requirements of the client. The work of our Order Processing Administrators is vital to the successful operation of this process.

This permanent, full-time position (starting from GBP20,000 to GBP22,000 annually) involves a variety of duties:
Taking orders by email
Entering orders into our CRM system
Emailing proposals and requesting customer confirmation and payment
Assigning jobs to proofreaders and editors
Scheduling workloads
Emailing completed jobs to clients
Tracking the process of each job from order to delivery to ensure that everything happens within the given time frame
Keeping the client informed during each step of the process
Answering the telephone and redirecting calls
Performing reception duties
Inputting data of various kinds
Completing general administrative tasks
Raising sales invoices
Dealing with customer and supplier queries

The Order Processing Administrator has a complex job. The successful applicant will work with three computer monitors simultaneously and should be very proficient at handling and switching between multiple computer applications, such as Outlook, Word and web-based CRM systems. Candidates must be able to work under pressure and learn very quickly. An academic or scientific background is required for performing this job well. Since the successful candidate will be communicating with customers on a regular basis, a proficiency in both written and spoken English is necessary, and knowledge of other languages will also prove an asset.
