A professional services firm is seeking an Executive Secretary to join their team in London on a permanent basis.

This is a busy and interesting role, supporting an allocation of Partners and Directors. We are looking for someone with the ability to be proactive, self-sufficient and adaptable in their approach, and who can develop and maintain key client relationships, displaying a professional image at all times.

This role would be looking for someone to be a pivotal part of succession planning within the function. We would expect candidate to build their skills and knowledge by rotating around the business for approximately 6 months before moving to a fixed role. The candidate would build a portfolio of experience which in turn would lead to a static role that monopolises their strengths. You may be occasionally asked to cover other regional offices on ad hoc basis e.g. Cambridge, Milton Keynes.

The successful candidate will have a proven record working in a fast-paced corporate environment and Partner/Director level.

Key responsibilities

* Manage complex diaries, using initiative to anticipate and resolve any conflicts
* Action emails and manage inbox as required by Partner/Director/Team
* Book complex national and international travel arrangements, ensuring efficient use of time and minimal expenditure
* Attend internal meetings, take minutes and ensure actions are followed up accordingly
* Organise and assist at a range of external and internal events, as appropriate to the role
* Develop a general awareness of the business issues and challenges within which the Partner/Director operates
* Work to deadlines and prioritise work requests
* Assist with client liaison on behalf of your Partner/Director, as required
* Always consider ways of reducing department costs, e.g. through effective planning of travel arrangements
* Deliver a consistently high standard of secretarial and office duties as required e.g. timesheets, expenses, post and filing
* Where necessary, review and improve processes

Person specification

* Experience of working in a fast-paced corporate environment
* Ability to work with minimal guidance and supervision
* Efficient organisation skills, with a very high degree of accuracy and an ability to prioritise an often conflicting workload
* Exercises confidentiality, discretion and personal sensitivity in all aspects of role
* Continuously seeks professional development opportunities in order to enhance and acquire knowledge, skills and expertise
* Intermediate skills in Microsoft Word, PowerPoint, Excel, Outlook
* Minute taking/shorthand advantageous
* Good working knowledge of internal databases and systems including CRM, SAP, MyPD
* 5 GCSEs/'O' Levels or equivalent at grades A-C including English and Maths
