Nature of job: Administrative tasks: particularly focused on administrative aspects of recruitment of new tutors, maintaining the CRM system, invoicing, payments to tutors, some marketing, and any other tasks needed.

Job duration: 2 mornings per week for the last two weeks in August for training; 25 hours per week from start September 2017 through end January 2018, with a possibility of extension for the right candidate.

Main duties and tasks:

  • Administrative aspects of recruiting new tutors, including advertising for prospective tutors, corresponding with applicants, reviewing CVs and cover letters, organising interviews, obtaining references via the phone, carrying out document checks for criminal record checks (DBS checks), updating the CRM system
  • Administration arising from correspondence with clients: changing dates/times of lessons, cancellation of lessons, adding new lessons; corresponding with tutors and clients about their availability
  • Social media and marketing: placing adverts on university websites to recruit new tutors; writing blogs on topical educational subjects to publish on the company website; managing the company’s FaceBook page and Twitter account (knowledge of google ads/AdWords, digital marketing etc not necessary)
  • Financial tasks: invoicing clients, including amending invoices where necessary; recording payment against invoices; refunds; reconciliation of payments; checking tutor timesheets against our own records, clarifying any inconsistencies, and making payments to tutors
  • CRM system: maintaining the database of tutors and clients to ensure it is up to date, with full and accurate information for all tutors and clients, inactive tutors/clients are removed, etc
  • Additional duties: speaking to clients over the phone where necessary; dealing with any urgent matters as they arise; occasionally attending events to represent the company

Person specification:

  • Highly organised and efficient, with an eye for detail and ability to work at speed
  • A self-starter who does not need intensive management; a fast learner who picks things up quickly
  • Flexible and innovative, with an interest in the use of social media to build business
  • Professional manner in both written correspondence (including emails and blogging) and over the phone
  • Clear and articulate communicator both verbally and in writing (blogs etc)
  • Numerate and comfortable working with numbers
  • A detailed understanding of the education system in the UK, including exams, the national curriculum, etc, is valuable
  • Previous experience with databases/CRM systems is preferred
