We offer comprehensive services encompassing Reactive and Planned Maintenance, together with Project Works throughout the UK and Ireland, delivered by a fully vetted and fully accredited network of local tradespeople.

Each and every client has a dedicated single point of contact responsible for the management of all works and due to expansion we are looking to recruit x2 Client Managers to join our successful team.

Reporting to the Operations Manager, this Facilities Administrator role includes taking on a loyal client base and acting as the primary point of contact for each of your clients. You will foster long term profitable relationships with your clients to both maintain existing business, and identify new business opportunities by delivering operational excellence.

Your key responsibilities will include:
Developing close working relationships with clients, ensuring that their needs are exceeded.
Managing reactive maintenance requests via email and telephone, to include organising planned preventative maintenance.
To arrange suitably qualified sub-contractors from our extensive database to attend each works instruction.
Raising works orders which detail the maintenance request and site contact details and ensuring the selected contractor receives the instruction and can complete within the required SLA.
Exception Reporting to the Operations Manager, or other delegated authority, regarding any work requests that have progressed outside of any relevant SLAs, expectations or requirements.
Receiving and issuing quotations where works exceed the client's allocated job limit.
Receiving invoices and supporting paperwork from sub-contractors, and preparing invoices to clients.
Follow up overdue sub-contractor invoices, quotations schedule of works orders etc.
Ensuring compliance with all health and safety legislation to include applying for permits, and submitting RAMS when required.

Skills:

*Excellent PC skills especially in MS Word, Excel and Outlook
*Excellent client relationship management
*Ability to supervise the work of contractors remotely
*Excellent communicator, both written and verbal
*Ability to manage and prioritise work under pressure
*Highly organised, with attention to detail
*Team Player
*Background in Facilities Administration very advantageous, but not essential
