Part-time Property Office Assistant/Administrator

My client, a property management company based in Stamford Hill (N16), is recruiting for a part time experienced Office Assistant/Administrator to join their small team.

The main focus of the role is to assist with the day to day administration of the business and support the Managing Director with the running of the business. Previous office administration experience is essential and you will need lots of initiative and be able to work independently.

Job Title: Office Assistant/Administrator
Reports directly to: Managing Director
Hours of work: Monday - Thursday 11am - 2pm (flexible on hours)
Salary: £8.50 - £10 per hour, depending on experience (reviewed after 6 month probationary period).

Main duties:

* Making routine telephone calls, liaising with tenants as necessary.
* Screening and directing calls, taking and relaying messages, providing information to callers.
* Writing correspondence and any other documents required by the Managing Director.
* Answering e-mails in a timely fashion.
* Reviewing property management regulatory requirements e.g. EPCs, health and safety checks and certificates etc.
* Maintaining the in-house tenant and property database; inputting, checking and reviewing information regarding leases, insurance, mortgages, notice periods, bank details etc.
* Checking tenants’ accounts are up-to-date and report any discrepancies to the Director.
* Maintaining files in an orderly fashion.
* Photocopying and shredding information as necessary.
* Ordering and maintaining stationery and equipment supplies.

Requirements for the role:

* Office administrative experience e.g. letter writing, keeping electronic/paper records, organisation etc.
* Strong computer skills, fully conversant with all relevant software applications (MS Office, Word, Excel, e-mail etc.)
* Professional telephone manner
* Self-motivated and able to work independently
* Excellent verbal and written English language skills, including grammar and spelling, with keen attention to detail
* Able to follow instructions accurately
* Strong time-management skills and ability to prioritise workload effectively
* Ability to develop professional relationships with a wide range of people inside and outside the company
* Flexible approach with a willingness to take on new tasks
* Uses judgement to know when to ask for help and guidance
* Appreciates and understands the need of confidentiality in dealing with all company matters
* Possess the knowledge and ability to work within an equal opportunity framework
