Office Angels are currently recruiting on behalf of our client for a Maternity Cover Investment Management Administrator. This is 10-11 month contract starting ASAP. The role is Part-Time role, located in West Edinburgh. Office hours are three days per week, Mon and Fri plus one other day (flexible). 08:00AM to 16:00PM, or, 09:00AM to 17:00PM. Salary £20,000 - £23,000 per annum pro rata, depending on experience plus benefits.

Job Description:

The role is essentially providing administrative support for a team of Investment Managers including diary management, expenses, meeting papers and travel. The team do need to process numerous invoices for the department and that will be a dedicated responsibility for this role, so some experience in this area would be useful.

General Responsibilities & Duties:

* Manage travel arrangements for overseas and domestic travel. Arranging visas where appropriate.
* Ensure effective organisation by reviewing & prioritising incoming communications (calls, correspondence and emails) and follow up as required.
* Organise and co-ordinate meetings, including oversight of equipment and facilities, as well as distribution/collation of relevant papers. Upload meeting minutes and research notes on Factset.
* Setting up conference and Skype video calls.
* Prepare reports, presentations and schedules as required using appropriate tools.
* Minute taking. Ensure meeting papers are copied and distributed within agreed timescales.
* Prepare personal expenses for Investment Management.
* Prepare invoices for processing and maintain spreadsheet on progress.
* Manage & control the filing System.
* Retrieve information from throughout the organisation as required.
* Provide cover as required for the other Investment Management department administrators.
* Mail distribution for International Equities Team.

Experience, Skills, Attributes Required:

* Proven experience in secretarial positions, ideally in an investment/financial environment.
* As this position involves extensive interaction with both internal and external clients, excellent communication, team & interpersonal skills, with proven ability to interact professionally with people at all levels.
* Confident, self-assured, assertive and friendly.
* High level of competence of appropriate word processing and presentation software - Word, Excel and Power Point.
