Part-Time Facilities Administrator

My client is one of UK’s leading providers of M&E, HVAC Building Services & Facilities Management, specialists in the provision of tailored and bespoke engineering services to a varied, blue-chip client base to include Corporate, Retail, Commercial & Industrial environments respectively.

Due to an increased volume of work an experienced Facilities administration candidate is required to join this leading M&E Building Services Provider’s team based within the South Manchester area, with the successful candidate being responsible for undertaking the administration and help desk works covering diverse portfolio, within a static base.

The successful candidate will carry out a range of administration related works from a facilities point of view, inclusive of:
• Managing the help desk, involving the issuing and dealing with reactive and corrective works and responses for Mechanical, electrical and small-scale maintenance works
• Raising and closing of jobs on site specific CAFM systems along with the raising and issuing of PO’s to relevant suppliers to cover engineering and part costs following orders, and raising costs for various contracts looks after
• Updating spreadsheets on various Microsoft packages for engineer inductions DBS checks and conducting base line inductions
• All general administration duties from data input and manipulation across a range of packages and client specific databases along with daily liaison and chasing up of contractors, technicians and suppliers utilising this data to produce weekly reports detailing outstanding jobs for technicians and engineers covering hard and soft facilities.

The role would encompass all forms of administration from basic data entry, competent use of Microsoft packages such as word, excel and power point along with general telephony skills such as dealing with incoming and outgoing calls.

Due to the nature of the client, ideally a good understanding and base line idea of M&E delivery / FM delivery (hard and soft) would be desirable, along with a background within planning and dealing with planned and reactive works.

Essential Candidate Requirements & Additional Information

Experience within administration and help desk related works
Excellent customer service delivery over the phone and via email also
Previous experience within FM delivery covering hard and soft services within commercial properties would be ideal
Good working knowledge and experience within Microsoft packages and additional CRM systems with the ability to pick up new systems quickly.

PLEASE NOTE: THIS ROLE IS ON A PART TIME BASIS OPERATING 12.00PM – 5.00PM MONDAY TO FRIDAY ON A TEMPORARY BASIS
