The purpose of the role is to provide professional support in order to maximise the effectiveness of the Innovation and University Hotel/Conference Centre(s). The position will concentrate on administrative support, covering one of the Innovation Centres and/or Hotel/Conference Centre.

It will require effective communications, system maintenance and providing first class customer service is an underpinning requirement for this position.

Working hours will be on a shift pattern basis and will be 5 days from 7 and will include evenings and weekends. Shifts are either 7am-2pm or 2pm-9pm.

Duties and Responsibilities

Maintain the reception area such that it is a welcoming and friendly environment for all customers and be the point of initial reference at the Innovation and Hotel/Conference Centre(s) for all callers, dealing with residents, visitors, staff and the public personably and efficiently

Operate all services to residents and tenants, such as incoming/outgoing post, photocopying etc.

Act as the first respondent for all incoming phone calls and mail/email, redirecting them as necessary.

Assist with administrative record keeping , cashiering and document production.

To help generate new and repeat business for the Innovation and Hotel/Conference centre(s) via telephone and written communications and face to face.

To maintain systems which provide the Centres with data and information enabling it to manage its customer profile and competitor activity and management systems.

Maintain the Enquiry database and other electronic systems as necessary and prepare the schedule of resources to meet the needs of the bookings.

Take customer enquiries and where necessary, place bookings onto the booking system as authorised.

n collaboration with colleagues, oversee day-to day conference and event activity, including moving and arranging furniture, setting up meeting room, providing refreshments.

Organise & collate post event feedback follow-up process, to ensure customer satisfaction.

Support the Commercial Service team in all administrative duties including maintaining records of tenant and resident information, chasing documents etc.

Taking accurate payments by credit card where appropriate.

Ensuring that all customers experience service excellence, high quality provision and value for money through the behaviour of staff and attention to customer needs.

Uphold good housekeeping practices (i.e. neat and correct storage) to ensure safe, clean and pleasant working environment.

Liaise with housekeeping staff regarding cleanliness is maintained throughout the centre.

Liaise with catering teams regarding client needs on a daily and weekly basis.

Skills and Experience

GCSE or equivalent education, including maths & English

Analytical and numerate

High level of organisational skills

Proven ability to prioritise tasks and responsibilities

Able to work under pressure and to strict deadlines

A strong communicator comfortable with written, telephone and face-to-face discussions, internally and externally

Attention to detail

Aware of, and comply with all statutory requirements on Health & Safety and all aspects of the company Health & Safety Policy and Fire & Evacuation Procedures

IT literate

Experience of working/responding independently and dealing with unforeseen problems and circumstances

Demonstrable written and oral communication skills

Ability to act on own initiative and respond swiftly to changing requirements
Good interpersonal skills

Ability to work under pressure and to deadlines

Work collaboratively within small team to achieve consistently high standards
